Wednesday, September 18, 2024

● Approval of last meeting’s minutes - Secretary
● Kosta approved and Kristy seconds the approval
● Review of last year’s year-end treasury report - Treasurer
○ Review of fundraising plan, expenses, activities and accomplishments
● Astoria, Pizza, Cards, Safety Night all turned out to be profitable
● Beneficiaries - 23 chromebooks, wish list, Paul Davis, Grade 8 Grad
● Opening balance is $23, 220.75
● Fundraising plan submitted in October - in Oct meeting there will be a vote to see where funds
will be sent
● Teacher report – Vice Principal
● Sports teams - flag football, int girls and boys volleyball, athletic council
● Gr 6-8 monitors will help in October
● Trips - grade 2s to Swan Lake, grade 7s Scanlon Creek
● Lots of garbage on the tarmac, there is time to eat in school
● Sept 24th BBQ 5-6:30 then curriculum night from 6:30-7:30 - Can anyone volunteer to collect
the tickets? - Scarlett to send a list of high school students to volunteer to Kelly
○ not a Wednesday because M and Ms aren’t available

● School Council Video from the YRDSB (seen during previous years but it’s a refresher each year)
● New Council for 2024-2025 - Principal

● Overview of Council and Council Roles
● We need a constitution and by-laws
● We are going to select a model, a decision making model, number and roles of officers and members at
large
● Models for Meetings - we need to make some decisions for what will work for our school and our
community
○ Motion forward for one of those meeting models - representative (eg - 6 members who vote) or
town hall (eg - number of officers we determine plus whatever we had to achieve quorum - 6
officers including/or plus quorum for this meeting)
○ Assembly/Town Hall Model - decisions are made at regular, open meetings - executive carry out
wishes of the whole council - votes are done at meetings and must be present for your vote to
count
■ Must have quorum in a town hall model - enough present for the vote to be valid - 50
percent plus one - we need to have at least twelve people to have a vote
■ Motion carried for TOWN HALL MODEL (Keziah motioned and Heather seconded)
● We need to decide how many voting members we have - it’s suggested it’s
quorum for the first meeting - so twelve voting members
● MOTION carried for MAJORITY
■ How many officers do we need?
● Motion carried for four officers (Keziah motioned Heather seconded)
■ How many voting members at large?
● Motioned carried for 8 members at large (Scarlett motioned, Caroline seconded) -
changed to nine members via a vote and motion
● Dissolution of the 2023-2024 Council
● Heather motioned to dissolve, Lily seconded the motion
● Registration/Nominations- 19 people have submitted a form
● Officers/positions - co-chair x2, x2 secretary, treasurer plus nine members at large

● Dates of Council Meetings: October 16, November 20, January 15, February 26, April 9, May 21

● Author visit - Sita Jit - will speak to grades three to five- need about $350 to spend on the author, are
we okay with spending the money on the visit? Laura motioned to spend the money, several people
seconded the vote
● Grade 8 graduation - put together a committee - at SDSS this year, Thursday June 19th - voting
members will decide who is on the graduation committee and what it will look like
